The Institute for Security Studies (ISS) in Addis Ababa is seeking a Programme Administrator to join its Training for Peace (TfP) team. The administrator will provide general administrative, programme and financial support that includes helping to organise training courses, arrange staff travel and organise events, manage payment processes, manage budgets and be part of the monitoring and evaluation (M&E) processes.

Overview of duties

  • Assist with budget management and monitoring, and track financial transactions
  • Plan of logistical arrangements for events and meetings, including provision of on-site support
  • Facilitate staff and consultants’ travel arrangements
  • Support liaison, coordination and communication among TfP partners
  • Provide general administration support, including organising internal meetings, service provider liaison, booking services and filing
  • Assist in maintaining databases
  • Help with programme M&E
  • Respond to donor inquiries and redirect queries within the programme
  • Arrange project planning meetings and take minutes
  • Liaise with stakeholders and staff in a professional and a timely manner
  • Undertake other activities in fulfilment of programme objectives

Overview of requirements

  • A Bachelor’s degree in business administration, secretarial studies/office administration, or a related field
  • At least five years’ experience in financial and programme administration
  • Excellent English written and verbal communication skills
  • Strong organising skills and attention to detail
  • Budgeting and financial administration skills
  • Ability to work independently and in a team, multi-task and problem-solve
  • Strong people skills and a professional approach
  • Ability to work with a diverse range of people
  • Proven competence in MS Office and excellent knowledge Word, PowerPoint, Excel
  • Available to travel regionally and internationally

The contract will be until 31 December 2024 and is renewable depending on confirmed funding/renewal of the next phase of TfP. A competitive salary is offered.
