BACKGROUND & PURPOSE OF THE ASSIGNMENT

To support logistics contracting processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Provide specialized support to logistics contracting activities, following standard processes, and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries.
  2. Assist in conducting annual comprehensive logistics market assessments for Ethiopia and contribute to annual logistics shortlisting exercises.
  3. Assist in launching Request for Quotations for different logistics services and evaluate received offers.
  4. Ensure all named companies/individuals of service providers are checked against the UN1267 list and any other sanction lists prior to shortlisting and again prior to any award of contract.
  5. In conjunction with the Operations Section of the Logistics Unit, compile data and maintain a filing system for performance evaluation of contracted logistics service providers. 6. Collect and compile data for quarterly CSC reports, including market highlights.
  6. Maintain a comprehensive and coherent filing system for all contracting-related documentation.
  7. Maintain contractual information management tools e.g., contract monitoring tool, shortlist overview sheet, shortlist contact details sheet etc.
  8. Communicate to the LTSH team accurate rates to incorporate in LTSH matrix updates and contractual changes that will be reflected eventually in submitted invoices.
  9. Support management of logistics vendors? contracting activities including performance monitoring and measurement.
  10. Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of a client service mindset.
  11. Perform other duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: A post-secondary certificate or university degree in supply chain, Logistics, Economics and Business Management, in any other relevant field is an added advantage.

Experience: At least 5 years of progressively responsible experiences in Supply Chain, Logistics operations, or a related relevant Business Stream.

Language: Fluency in oral and written communication in English and local language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  • Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.
  • Experience analysing data (on commodities, funds, etc.) and drafting reports.
  • Experience in measuring service providers? performance against set KPIs.
  • Experience in assisting in the preparation of contract documentation.
  • Experience in providing technical business support in corporate systems.
