Duties and Qualifications

1. General Background

In Gambella, UNHCR has two compounds where the Agency has accommodation and office premises. Therefore, the guesthouse Supervisor's presence in Gambella is ideal for hygiene and upkeep of the environment for smooth service delivery of the staff to the PoC.

2. Purpose and Scope of Assignment

  • Under the direct supervision of the Associate Compounds Manager in Gambella, the Guesthouse Supervisor will undertake the following responsibilities:
  • Managing the reservation booking using the Global Humanitarian booking Hub https://accommodation.wfp.org/login/ reception and payment arrangements.
  • Undertake a need assessment for guesthouses improvement, report, and reasonable procurement plan to Associate Compound Manager and/or Admin/Finance officer
  • Undertake regular visits to a different room to ensure that systems are in place and evaluate the cleaning service rendered by the private company in charge of cleaning.
  • Improvement work for Canteen and entertainment facilities
  • Ensure that the accommodation, including laundry and all lodging facilities, are kept clean on daily basis, replaced, or repaired in a need-based manner.
  • Supervise and maintain general cleanliness and lighting of pathways in the compound including proper waste disposals.
  • Supervise the general cleaning of office blocks and accommodation.
  • Perform other duties as assigned.

3. Monitoring and Progress Controls

  • HR shall provide the official form to control and observe the timesheet.
  • A staff member is responsible to write objectives and submit to the supervisor by the end of each month for the subsequent period.
  • The supervisor shall submit the evaluation form of the staff to the HR unit.

4. Qualifications and Experience

a. Education

  • Minimum requirement: Secondary Education.
  • Added advantage: Diploma in Health or Teaching.

b. Work Experience

Desirable experience:

  • Working experience of at least three years in the cleaning Company hired by an International Organization (United nations or similar).
  • Good knowledge of UNHCR compounds.
  • Practical experience working in the deep field
  • Familiar with either Nuer and/or Anyuak culture.
  • Working knowledge of any other official UN language.

Essential requirements:

  • Minimum experience of five years working in a cleaning company.
  • Excellent computer skills in MS office application. (Essential)
  • Excellent knowledge of English (written and spoken).

c. Language Skills

  • Fluency in English and local languages (Amharic) is required.

Nature of the Position

The Guesthouse Supervisor is a member of the Administration Unit. He/She will report to the Associate Compound Manager. The Incumbent will be based in Sub Office Gambella, Gambella region, and will support the Administration delivery to over 83 staff accommodated in two compounds. He/she monitors accommodation standards, operational procedures, and practices in accommodational delivery in line with Administrative Instruction on UNHCR provided accommodation in the field.

The Guesthouse Supervisor provides quality, timely and effective supervision to the cleaning company and provides reports to the Compounds Manager, identifies opportunities to enforce the adherence of SOPs provided for compounds Management He/she contributes to designing a comprehensive compounds Management strategy and may liaise externally with local authorities and partners on environmental issues as guided by the supervisor.

The guesthouse supervisor also ensures that all tenants and guests are equally treated and involved in any decision affecting their well-being.To achieve this, the incumbent will need to build and maintain effective interfaces with tenants staying in the compounds, Service provider, and Administration unit.

Living and Working Conditions

Gambella Sub office is a non-family duty station located 3 Km/ or 10 minutes drive from Gambella main town in Gambella Region. The security situation is relatively calm but unpredictable; sometimes intercommunal conflicts influence the security situation. The Sub Office has accommodation with modern facilities for staff reducing security risks. The Incumbent can live in the provided Guesthouse in the Alpha compound for security reasons whenever the accommodation is available. As currently there are no vacant rooms in Alpha Compound, the staff should find accommodation outside the compound. Staff can travel from home to the office using the UNHCR shuttle in the morning and evening at the designated location. There are daily commercial flights between Addis Ababa and Gambella.

The diversity of topography in Ethiopia has resulted in a wide variety of climates in the country. The climate in Gambella is classified as tropical. The hottest season of the region is in March/April. The maximum temperature may rise up to 45 °C, followed by a long rain season. The average annual temperature of Gambella is 27.6 °C. The road network within the region is often affected by the heavy rainfall during the rainy season, but now most of the roads are under maintenance. The mode of transport within the town is the use of Bajaj. The average annual rainfall is 1148 mm. Remoteness, isolation, and lack of entertainment in social life are the factors to be also considered prior to apply.

Knowledge of English is Essential.
