SCOPE OF ROLE:

Reports to: Sr. Learning, M&E advisor

Role DimensionsThe data management coordinator will have his/her role in ensuring and maintaining an accurate and up-to-date database to inform project indicators, including providing ongoing support for the project and partner staff to ensure timely and quality data collection, analysis, storage, retrieval, and reporting.

Roles and Responsibilities

To ensure Save the Children meets its commitments to transparency, internal (as per the SCI nutrition data resources, based on the nutrition projects need and importance) and external accountability, and to increase the positive impact on children’s lives, Save the Children is seeking qualified data coordinator to support Growth through Nutrition Project in data management.

The Data Coordinator will be in charge of ensuring and maintaining an accurate and up-to-date database to inform project indicators, including providing ongoing support for the project and partner staff to ensure timely and quality data collection, analysis, storage, retrieval, and reporting. S/he will also analyze data and generate program information to promote data-driven decision making, as well as wider participation of children and other groups of beneficiaries in designing, implementing, monitoring, and evaluating programs and projects. S/he will also participate in providing data for the production of project periodic reports, and compiling data on project performance against set targets.

Primary Purpose:

  • To ensure updated agriculture/livelihood, SBCC, nutrition/health, and WASH data archive, and avail updated reports on project performance indicators from the data coming from different sources (regions, partners, etc) through routine monitoring and assessments.
  • Adequately lead the development, utilization, and regular update of project DHIS2 database and enter data - prepare for reporting.
  • Build capacity of project managers and advisors to effectively analyze and interpret data for informed decision making
 Key Accountabilities:

Staff Management Responsibilities

  • None.

Data processing

  • Receive data from various sources, enter and manage in the system / DHIS2.
  • Thoroughly review data for inconsistencies, timeliness, and accuracy that could skew analytical results and adversely affect project implementation.
  • Perform quality control checks on the received data and remove erroneous information following established validation procedures.
  • Update, maintain, organize and manage information / the storage of data in computer systems and archives 

Reporting

  • Prepare updated database reports, tables, and figures, etc for the Sr. MEAL advisor and any others as requested - on program’s progress ensuring all reporting requirements are met on time and in a quality manner.
  • Analyze, summarize and produce database reports that can be used for the preparation of semi-annual and annual progress reports (narrative and matrixes) and ensure consistency between the database report and activity matrix report
  • Prepare and disseminate semi-annual and annual dashboards from the project database for the project staff.
  • In collaboration with the MEAL team, summarize project progresses / FtF/PMP indicators using the DHIS2 Dashboard and share with the Growth through Nutrition Management for timely decision making.

Monitoring of data

  • Ensure proper data entry and generate reports semi-annually and annually based on the project plan.
  • Participate in the development of tools and templates that (a) enable and enhance the regular collection of project data (b) based on guidance, generate quality database reports for various program levels (monitoring of inputs, outputs, outcomes, etc.) by tracking outputs and progress towards program quality
  • Develop a functional system for tracking regular updates on program performance.
  • Closely work with country office, regional team, and partners to ensure timely update of the DHIS2 database system.
  • Contribute to agency-wide initiatives on designing standards and frameworks for better data management, program quality, and accountability.
  • Facilitate and lead the provision of DHIS2 training for newly employed staff in the program unit, partners, regions, and other local structures) for better data quality.
  • Actively participate in project Routine Data Quality Assessment / RDQA in different project implementation regions

 

Quality and Accountability

  • Promote and enable child-led and participatory information sharing mechanisms where meaningful.
  • Ensure and support integration and implementation privacy of organizational information and Accountability systems that are compliant with relevant quality standards Ensure smooth integration of program quality and accountability standards into daily work.
  • Ensure the security of data to prevent unauthorized manipulation, and generate data from the database to respond to questions from USAID and SCI auditors.

Capacity building

  • Facilitate and lead the provision of training on DHIS2 database for newly employed staff in the program unit, partners, regions, and other local structures) for better data quality.
  • Facilitate or co-facilitate training where and when identified.

Provide a day to day technical support to Growth through Nutrition regional data clerks.

Minimum Qualification and  Experience 

  • A bachelor’s degree in computer sciences, IT, or statistics. Additional training in biostatistics or professional data management courses, MIS and DHIS2, is an added advantage.

EXPERIENCE AND SKILLS

Essential:

  • Minimum of Bachelor Degree in Information Technology (IT) and or Statistics and health-related.
  • Experience in using basic data software’s in related to nutrition and health data management activities such as DHIS, SPSS, EP INFO; experience with DHIS software is highly preferred
  • Minimum of 5 years progressively responsible experience with NGOs or other organizations, including significant experience - data entry, analysis, and generating database reports.
  • Experience in working in all aspects of planning, monitoring, and evaluation, ideally including programmatic audits, systematic tracking, and analysis, practical experience in developing real-time monitoring and assessment systems.
  • Ability to ensure appropriate and coherent data-keeping, generating and share accordingly.
  • Ability to ensure true participation in program planning, monitoring, and evaluation (children and adults).
  • Significant experience in manipulating different data, the hands-on skill of extracting important nutrition information’s and share as per the need.
  • Excellent documentation skill is a must
  • Excellent time management and planning capacity. Availability and willingness to work extra hours.
  • Ability to work with children and affected individuals and groups.
  • Excellent verbal and written communication and relationship-building skills to deal tactfully and sensitively with multicultural people in a large organization and ability to manage complex projects information, data.
  • A flexible and initiative-taking, proactive, inspiring attitude with the ability to manage and prioritize an unpredictable workload.
  • Willingness and ability to operate an ‘open-door policy with regards to colleagues seeking immediate information and support accordingly. 

Desirable

  • Experience in nutrition project data management and involvement in assessments, surveys, and monitoring of projects.
